Office Assistant - Commercial Real Estate | GE Real Estate - Arden Realty | Palo Alto, CA

1. Job Description:

Summary: Responsible for facilitating the organization, administration, and work flow of day-to-day office activities for a portfolio of properties in Palo Alto, CA within a Commercial real estate organization. Provides excellent customer service to tenants by supporting property operations team in a variety of areas within property management.

Essential Responsibilities
  • Maintains lease and building files, property telephone lists, emergency information, purchase log order, and Certificate of Insurance binders for both tenants and vendors.
  • Answers telephone and directs incoming inquiries to the appropriate party or handles requests independently.
  • Processes tenant billings as necessary.
  • Inputs work orders from tenants into MRI system and communicates with engineers.
  • Administers signage program by ordering signs and building and floor directories.
  • Prepares accounts payable invoices for approval in accordance with accounting deadlines, and distributes tenant memos, rent statements and newsletters.
  • Acts as liaison with vendors as designated by supervisor.
  • Sorts and distributes mail, orders and maintains office supply inventory.

2. Job Requirements
  • High School Diploma/GED with a minimum 2 years' general office experience OR (Bachelor's degree with a minimum of 6 months' work or internship experience)
  • Proficiency with MS Word, Excel, and Outlook
  • Administrative support experience in hospitality, financial services, or commercial real estate
  • Accounts Payable Experience
  • Ability to work independently with little or no supervision
  • Proven history of outstanding customer service skills
  • Ability to multi-task with a customer focused approach
  • Excellent verbal and written communication skills
  • Strong organization and time management skills
  • You MUST have unrestricted authorization to work in the United States.
  • You MUST be willing to comply with pre-employment screening, including but not limited to drug testing, reference verification, and background check.
  • You MUST be willing to travel up to 5% of the time.
  • You MUST be willing to work from the Palo Alto, CA, office.
